RemakeCV distinguishes administrators from standard users. Administrators manage company details, API keys and — where enabled — user accounts. Everything else is more open than people expect: formatting preferences are per user, CV history is visible across the company, and templates can be created by anyone who can see them.

## What can each role do?

> **Warning:** 
Note the second and third rows. **CV history is company-wide, not personal** — a consultant can see CVs processed by colleagues. And **formatting preferences are per user**, so two people can produce differently formatted output from the same template. Neither behaves the way most agencies assume, so check both against your expectations before rolling out.

## What is genuinely administrator-only?

Four things:

- **Company details** — logo, header logo, address, office number, licence number, header and footer colours. Non-administrators see a message telling them to contact their administrator.
- **API keys** — creating and revoking keys in Company Settings → Public API. See [authentication](https://www.remakecv.com/help/api-reference/authentication.md).
- **User management**, where your plan includes it.
- **The credit usage log**, where your plan includes it. It names the consultant behind every credit spent, so only administrators can open it. See [credits and usage](https://www.remakecv.com/help/getting-started/credits-and-usage.md).

## Why can everyone change formatting settings?

Because those settings belong to the user, not the company. Date format, section toggles, headers, footers and cover-page options are stored against each individual login.

This is the single most common cause of "why does my colleague's CV look different from mine?". Agree the settings as a team during onboarding and have each consultant apply them. ## Restricting templates to specific users

Separately from roles, individual templates can be limited to named users — most usefully for client-branded variants that should not be selectable by consultants working other accounts.

This is configured by RemakeCV rather than self-serve; email support@remakecv.com with the template and who should see it. Administrators bypass the restriction and always see everything. See [template variants](https://www.remakecv.com/help/templates-and-branding/template-variants.md).

## Offboarding

### Remove the account on their last day

Removal is permanent — there is no deactivated or suspended state. A dormant login with access to candidate data is a standing risk and a common audit finding.

### Revoke any API keys they created

Company Settings → Public API. Check `last_used_at` afterwards to confirm nothing is still calling with that key.

### Reassign their credit allocation

If they had a per-user limit or belonged to a shared pool, email support@remakecv.com to redistribute it.

### Check an administrator remains

Make sure at least one active administrator is left — ideally more than one.

### Reauthorise any integration they connected

Bullhorn and Vincere connect per consultant, and JobAdder connects once for the whole company. If the leaver made the JobAdder connection, it will fail for everyone. See [integration sync errors](https://www.remakecv.com/help/troubleshooting/integration-sync-errors.md).

Removing a user does not delete the CVs they processed. Those remain subject to your company retention window — see [GDPR and data retention](https://www.remakecv.com/help/anonymisation-and-compliance/gdpr-and-data-retention.md).

## How do I change someone's role?

Email support@remakecv.com. There is no self-serve control for promoting a user to administrator.

## Frequently asked questions

### Can consultants see each other's CV history?

Yes. CV history is scoped to the company, not the individual, so consultants can see CVs processed across the agency.

### Can administrators add and remove users themselves?

On some plans. Where self-serve user management is not enabled, the administrator tab does not appear and changes go through support@remakecv.com.

### How do I remove someone who has left?

Ask an administrator, or email support@remakecv.com. Removal is permanent — there is no deactivated state — and it does not delete the CVs they processed.
