ATS Resume Format: Requirements, Checklist and Example

An ATS resume format is a document layout that helps an applicant tracking system extract candidate information into the correct fields. Use a readable file, clear section headings and a straightforward reading order, then check what the receiving system actually extracted.

There is no single format that guarantees a successful application or an interview. Parsing a document and deciding whether a candidate is suitable are different tasks.

What are the practical ATS formatting requirements?

Start with the employer's instructions for file type and size. Requirements vary between systems, so a checklist is a starting point rather than a universal certification.

  • Use readable text. A scan or image needs text recognition before its contents can be extracted reliably. Check whether you can select and copy the text from a PDF.
  • Keep a clear reading order. A simple single-column layout is a useful starting point when you do not know which parser will receive the file.
  • Label the sections clearly. Use familiar headings such as Work Experience, Education and Skills.
  • Keep essential details in the main body. Do not rely on a decorative header, footer or text box for contact information.
  • Review the imported record. Check names, employment dates, job titles and qualifications after upload.

For example, Greenhouse documents parsing problems with image-based documents, columns, complex tables and contact information placed in headers or text boxes. Its guidance also explains that parsing can be partial and require manual correction. Those are useful test cases, not evidence that every ATS behaves identically.

Should an ATS resume be PDF or Word?

Follow the application instructions first. If both are accepted, test the file you intend to submit. A text-based PDF and a scanned PDF are different inputs even though their filenames have the same extension.

Open the final file after export. Copy its text into a plain-text editor to check the reading order, then inspect any fields populated by the application form or ATS. A successful text-copy check does not prove that every field will parse correctly.

The example below is a structure to adapt, rather than an ATS-approved template. Replace the placeholders with accurate information and use ordinary document text for the section labels.

Keep actual job titles and employment history accurate. Where an abbreviation is unclear, add an explanation rather than inventing a different title. Include relevant terminology from the job description only when it truthfully describes the candidate's experience.

Common mistakes to avoid

Treating formatting as a screening guarantee

A clean layout helps make information accessible. It does not establish job fit, satisfy missing qualifications or promise a particular screening outcome.

Assuming every resume must fit two pages

Choose length for the candidate's relevant experience and the employer's instructions. Do not remove useful evidence solely because of an unsupported claim that all ATS tools have a two-page limit.

Trusting an export without reviewing it

Review the candidate record and the document separately. Correct parsing does not ensure good page breaks, and a polished page does not ensure correct extracted dates.

A recruiter checklist for agency CVs

An agency submission may need client branding and a consistent presentation as well as readable source information. Keep the original CV available for comparison and agree which document the client expects.
